The Load Lounge Pty Ltd (ABN 93 701 441 974) respects your privacy and is committed to protecting the personal information we hold about our clients, suppliers, contractors and website visitors. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). It applies to all freight, load handling and logistics lounge services we provide across Perth, Western Australia.

The types of personal information we commonly collect include:

• Your name and the name of your business or organisation;
• Your email address and delivery or pickup address details;
• Consignment details, including the nature, volume and destination of freight;
• Billing and invoicing details, including business ABNs where relevant;

We do not generally collect sensitive information (such as health information or criminal record information) and will only do so where it is reasonably necessary for our services and you have consented, or where the law permits.

We collect personal information directly from you when you submit a quote request through our website, send us an email, engage our services, or otherwise communicate with us about your freight and logistics requirements. We may also collect information from third-party carriers, subcontractors and referral partners where it is unreasonable or impracticable to obtain it directly from you.

We collect, hold, use and disclose personal information so that we can:

• Provide freight transport, load handling and logistics lounge services to you;
• Prepare and deliver accurate quotes and schedules;
• Coordinate carriers, subcontractors and warehouse partners involved in your consignments;
• Invoice for services and manage accounts and payments;
• Respond to enquiries, feedback and complaints;
• Improve our services, website and business operations; and
• Meet our legal, insurance and regulatory obligations.

If you do not provide the personal information we request, we may be unable to quote for, or provide, our services.

4. When we disclose personal information

We may disclose personal information to third parties where reasonably necessary to deliver our services, including:

• Carriers, linehaul operators and subcontracted drivers who move your freight;
• Warehouse, storage and logistics partners who handle goods on our behalf;
• Our professional advisers, including accountants and insurers;
• IT service providers who host our systems, website and email; and
• Government agencies, regulators or courts where required or authorised by law.

We do not sell or rent personal information to anyone.

5. Direct marketing

We may use your contact details to send you updates about our freight and logistics services, service changes or offers that we believe may be relevant to your business. Every direct marketing communication will include a simple way to opt out, and you may also opt out at any time by emailing us at the address below. We will action opt-out requests promptly and comply with the obligations in the APPs and the Spam Act 2003 (Cth).

6. Cookies and website analytics

Our website may use cookies and similar technologies to understand how visitors use the site, remember preferences and improve performance. Most browsers allow you to adjust settings to refuse cookies or delete them; doing so may affect some functionality of the website. Analytics data is reported to us in aggregate and is not used to identify individual visitors.

We take reasonable steps to protect the personal information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. This includes limiting access to personnel who need the information to perform their duties, using reputable hosting and email providers, and retaining personal information only for as long as necessary for our operational, legal and accounting purposes, after which it is securely destroyed or de-identified.

Some of our service providers, including cloud hosting and email providers, may store or process data outside Australia. Where personal information is likely to be disclosed to an overseas recipient, we take reasonable steps to ensure the recipient handles that information consistently with the Australian Privacy Principles.

Under APP 12 and APP 13, you have the right to request access to the personal information we hold about you and to request corrections where it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, email us at the address below with enough detail for us to identify you and the information concerned. We will respond within a reasonable time. There is generally no charge for access or correction, although we may charge a reasonable fee for providing a copy of the information.

10. Making a privacy complaint

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us in writing with details of your concern. We will acknowledge your complaint, investigate it fairly and promptly, and respond to you with the outcome and any proposed resolution. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) via www.oaic.gov.au.
